Registration Status Logic Rule Details
List Rule Details
-
Name – (Required) A descriptive name for the rule
-
Processing Order – The order in which the rule is processed displayed relative to other rules for the same custom registration status. (1, 2, 3, etc.)
Conditions
-
Always Apply – This single radio button is always selected. The logic rule will always be run whenever an attendee's registration status changes to the one to which the rule belongs.
(Unlike for Form Logic Rules, there is no option to only apply a Registration Status Logic Rule under certain conditions.)
Actions
-
Select Action – Select the action to be applied when an attendee's registration status changes to the one to which the rule belongs:
-
Send Email to Registrant – Sends an email to the registrant whose registration status changes to the one to which the rule belongs.
or
-
Send Email to Third Party – Sends an email to a third party, such as an organizer.
Whichever options you pick, you must select an email template from the Select Message to Send drop-down list
Other fields are added, depending on which of the two options you picked.
-
Send email to Registrant Email, and/or
-
Send email to Assistant Email, and/or
-
Send email to Additional Email.
If you select Send email to Registrant Email, four more options are added.
The first two enable you to send CC copies of the email (instead of separate direct emails) to the registrant's Assistant and/or Additional email addresses:
-
CC Assistant Email
-
CC Additional Email
The email will be sent to the selected recipient(s) if those email addresses exist on the registrant's profile record.
Note 1: Each email address is checked/processed separately. So for example if Send email to Registrant Email and Send email to Assistant Email are both selected, but only the Assistant Email field has a value on the registrant's record, then only one email is sent – to the Assistant Email address
Similarly, if you select Send email to Registrant Email and either CC Assistant Email or CC Assistant Email, but the registrant's email address is blank, then not only is no email sent to the registrant (because they have no email address), but no CC copies are sent either, because there is no email of which to send copies.
Note 2: If, for example, you select both Send email to Assistant Email and CC Assistant Email, then that address will receive two emails: one original to just them, plus a copy of the one sent to the registrant.
Tip: Since the logic rule will likely send email to additional registrants, and you may have selected the Assistant and/or Additional Email addresses, you should personalize the email template with appended data fields such as first name and last name.
The other two options displayed if you select Send email to Registrant Email enable you to send BCC blind copies of the email to the Event Contact and/or Event Owner (if there is one).
(Both are set up for the event on Plan> Event Setup > Details.)
-
BCC Event Registration Contact
-
BCC Event Owner
-
Third party email address – (Required) Enter the email address(es). Separate multiple addresses with commas.
-
Send only if data values in email have changed – If selected, then the email is only sent if either:
-
-
the email has not been sent to this attendee before, or
-
it has been sent before, and the values in at least one of the Dynamic Data Fields (DDFs) in the email template have changed since it was last sent.
