Things to Know About Event Data (i.e., Registration Information)
-
Information that pertains to a single, specific event is called event data.
-
Event data is also referred to as "registration information", since it is typically collected from a registrant signing up for a specific event using a Certain registration form.
(This is as opposed to "profile information", which applies to an individual regardless of the event(s) they may attend.) -
Event data relating to registration information is stored at the event level (whereas profile information, is stored at the account level).
When an event is finished, the event-specific registration data is no longer pertinent.
Using Custom Questions to Collect Event-Specific Registration Information
To collect event-specific data from registrants, you can add one or more custom questions to a registration form (that is, custom registration questions). (See Forms > Questions.)
This is useful when gathering information about a registrant that is likely to change if that person attends multiple events. For example, "What flight are you on?" or "When will you be arriving?"
Since there are no pre-existing Certain data fields designed to collect such information, you need to make your own. You may also supply answer choices, when appropriate.
Custom questions and their corresponding answer fields can take various forms—some may be yes/no questions, some could require text entries, others might be answered using check boxes.
Typically, a registrant provides the answers to custom questions during the registration process.
However, in some instances event management staff may wish to supply or edit event data. In such cases you may wish to hide a question on the registration form from the registrant and make it visible only to event staff.
Answers may also be captured using the Certain Check-In app, during check-in (see Check-In > Question) or in a post-event survey (see Check-In > Survey).
Note: When the registrant answers a custom question of type Text in a registration form, their answer will be reformatted to match the option set for the event (in Plan > Configure > Options), such as setting it to UPPER CASE, if the field is included for reformatting in your account-level settings (in Account Settings > Registration > Data Format).
Up to 135 custom questions can be added per event.

FYI: Custom Profile Questions
In addition to the maximum of 135 custom questions set up here, which correspond to a single event, each account can have up to 40 further custom questions that collect profile data: information about a registrant that remains constant, unlikely to change per event, and which is therefore held at the account level. These question are set up by an administrator on Account Settings > Registration > Profile Data.
For example, "Eye Color" would be suitable as a custom profile question, whereas "Arrival Time" would be a custom registration question.
