Charts: Click any bar on the bar chart, or any segment in the pie chart, to see a list of those registrations.
Table: Click any number, or an attendee type name in the first column, to see a list of those registrations.
Attendee types are determined on Plan > Event Setup > Attendee Types.
The Completed Registrations by Attendee Type summary report is presented in three forms: bar chart, pie chart and report table.
Bar Chart
-
Horizontal axis: Attendee Types
-
Vertical axis: Number of registrations
-
Bars for each attendee type: Registered/Paid, Balance Due, Pending, and Cancelled
Pie Chart
-
One segment per attendee type, representing a percentage of the total.
Table
With the following columns:
-
Attendee Type – the name of the attendee type. "Not Assigned" is used for registrations not assigned to an attendee type.
-
Registered/Paid – See notes below. Generally speaking, these registrants have completed the registration process and do not require you to take action.
-
Bal. Due – Registrants who owe money (have a positive balance due).
-
Pending – Registrants with a status classified as Pending. Frequently, Pending is used by planners to designate people who are on a wait list or for whom some action or communication must take place before they can fully accept the registrants into the event.
Pending registrations may not appear in all events—this is completely dependent on the configuration of the event. -
Cancelled – Completed registrations which belong to a status classified as Cancelled.
-
Total – The sum of all Registered/Paid, Balance Due, and Pending registrations. Note that the total does not include Cancelled registrations
-
Collected – See notes below. Total money collected from all registrants who belong to the attendee type in which the dollar amount appears.
-
Inventory – The inventory on the Attendee Type record: the maximum number of attendees that can be of this type. Shown only if the attendee type does have an Inventory value assigned.
-
% Full – Total as a percentage of Inventory.
About Completed and Registered
When determining the registrations counted as "registered/paid", Certain uses the following criteria:
-
Registration is marked "complete", or the registration was started within the last 10 minutes. Note: 10 minutes is the default time incomplete registrations will be held against inventory; however, this limit can be changed in Plan > Configure > Options > Global Settings section.
-
Registration status must be of "accepted" type (new, pre-registered, no-show, or attended)
-
Registration's test status matches that of the event (If the event is in test mode, then test registrations are counted If in live mode, then test registrations are excluded.)
-
Registration is active
Confirmed registrations that have a balance due are not counted against the inventory of categories, activities, or hotel rooms, unless the event is set to do this (in Plan > Configure > Options).
Also note that online registrations that are in progress are counted against inventories. If a registration is not completed within the set timeframe, then that space will be released.
About Amount Collected
The amount collected includes the amount of money that has been marked as "Received?". The money appears in the row of the attendee type of the registration who made the real payment—not in the attendee type of any Additional registrations that received part of the total payment.
For example, if an attendee submits a $1000 payment for herself ($500) and a guest ($500), then the full $1000 is included in the amount collected of the attendee's attendee type, and no payment is added to the row total in the attendee type of the guest.
