Copying an event saves hours, but a few things need attention before and after. Use this list each time.
Before you copy
-
Fix logic rules with blank conditions. A rule that points to a deleted package or answer can cause errors during the copy. Update it or set it to Always Apply.
- Decide what to bring over. The copy wizard lets you choose which parts of the event to copy, and which account or sub-account to copy it to. Registrations never copy. See Copy Event (Wizard)
- Tick Copy Scheduled Emails as Queued? if you want them live. It's unticked by default. You'll find it in the copy wizard's Areas to Copy list, along with every other area you can bring over. To start the wizard, click the copy icon next to the event on the Event List, or click Copy Event at the top of Event Setup > Details.
Right after you copy
- Check the links in your email templates. A link typed into a template still points to last year's form after the copy, so registrants see "This event has ended." Copy the new form's URL from Plan > Forms > (form) > Setup and update each template.
Tip: use a data field instead of a typed link: In the email template, use Append to add the Hyperlink to Form: (form name) data field instead of pasting the URL. It always points to that form in the current event, so copied events don't need their links fixed. The link text comes from the form's Hyperlink Label on Setup. Form Id For Url: (form name) works the same way if you build your own link.
- Turn on scheduled emails. Copied scheduled emails come over On Hold unless Copy Scheduled Emails as Queued? was selected when copying. Set them to Queued when you're ready.
- Check your primary form. Make sure one form is marked as primary.
- Test the website and each form with a new registration.
Event code already in use
If Certain says your event code is taken, an older or inactive event may still use it. Change the code on that event first, or contact Certain Support with the code.
Next step: Run a test registration on the new event before you share any links.
