Quick answers to common report questions. To open a report, go to Reports in the event and click the report name. A custom report you can edit has tabs on the left: Setup, Display, Columns, Filters and Advanced.
Totals and grouping
Can a report add up a number someone entered?
Yes, in printable reports. Open the report's Advanced tab and use Subtotals to show the sum, average, or minimum and maximum of a numeric field, plus record counts.
Can I group records, for example by attendee type?
Yes. On the Advanced tab, use Groups to group records by up to three columns. You can also hide the details to make a summary report with a count next to each group.
What if I need a total the report can't do, like counting answers to a question?
Export the report to Excel and total it there. See Reports FAQ - Report Subtotals
Sharing a report
How do I share a report with someone who doesn't have a Certain login?
Use a tokenized report link. On the report's Setup page, go to Report Tokenization. Under Access, choose Enable View Only for a read-only link, or Enable Mass-Action(s) if the person also needs to run mass actions. Before you save, you can also choose whether the person can export the report (Allow Exports) and whether the link expires. Save. The section then shows the Tokenized Report URL and its expiration date. Click URL to copy the link and share it. See Sharing Reports via Tokenized URL
Who can see it: Anyone with a tokenized link can see the report without logging in. Only share it with people who should see that data. To turn the link off, open the report's Setup page and click Delete Token in the Report Tokenization section. Access goes back to Do Not Enable.
I don't see Report Tokenization on my report.
It's on a custom report's Setup page. If your report doesn't have it, contact Certain Support with the report name.
Filtering
How do I leave one attendee type out of a report?
Use an Advanced Filter. Open the report and click Filters in the left menu. Under Advanced Filters:
- Column: choose Attendee Type Name. (Use Attendee Type if you'd rather filter on the type code.)
- Operator: choose <> (is not equal to) to leave out one type, or is not one of to leave out several.
- Value: enter the type's name exactly as it's set up, or click the pick list icon and check it. For several types, check each one or separate the names with commas.
- Click Save, then Run Report.
Can a drill-down filter do this?
No. A Drill-Down Filter asks you to pick a value each time you run the report, so it shows one type at a time. To leave a type out every time, use an Advanced Filter. See Choose Report Filters
Data that looks wrong
Every registrant shows the same phone number. Why?
The report is probably using a different phone field, such as an assistant, alternate or event contact phone. On the Columns tab, pick the registrant's own Phone field.
A column I added is blank.
Check that the field is on the form and that registrants answered it. Profile fields and registration questions are separate fields that can have similar names, so make sure the column uses the one your form collects.
Next step: Open the report's Columns tab and check that each column uses the field you expect.
