Each agenda item can have two limits. One caps the total number of people who can sign up. The other caps how many one registration order can add. They are easy to mix up.
Which field sets the total limit
Go to Plan > Event Setup > Agenda, open the item type, and edit the item.
- Scheduled items (classes, meals, tours, breakouts): use Capacity. Enter 0 for unlimited.
- Merchandise and Other items: use Inventory. Enter 0 for unlimited.
- Fees & Discounts items don't have a total limit.
For example, to cap a workshop at 6 people, set Capacity (or Inventory) to 6.
What Maximum Order does
Maximum Order does not limit the total. It limits how many of the item one order can add. An order is the primary registrant plus any guests or additional registrations they add.- Set Maximum Order to 1 if only one person on an order should get the item, like a CEU class credit.
- If a guest can't add an item even though seats are left, check Maximum Order. The primary and their guests share that limit.
Why an item can go over its limit
While someone is registering, the items they pick hold a spot for a set number of minutes after their last change. If they stop before finishing, the spot is released once that time runs out, and someone else can take it. If the registrant comes back later, Certain checks the item again on the Agenda, Verify and Payment pages. If it's full by then, the item is removed and they're asked to choose again. The item can still go over its limit when an admin adds it to an unfinished registration from the admin side, because that check doesn't stop an admin.
To see or change how long an unfinished registration holds its spot:
- Go to Plan > Event Configuration > Options.
- Under Global Settings, find Incomplete registrations count against Capacity/Inventory for __ minutes after their last modification. In the example below it is set to 10.
- If registrants need more time to finish, raise the number. Keep it lower than your token timeout, as the warning on the page says.
- Save.
Before you complete an unfinished registration by hand, check that the items on it still have room. If an item is already full, remove it from that registration or raise the item's Capacity or Inventory on purpose.
Hide full or past items on the form
To stop registrants from seeing items they can't pick:
- Go to Plan > Forms and edit the form.
- Open Agenda and edit the agenda section.
- Under Display Rules, turn on Do not display Agenda Items that occur in the past and Do not display full Agenda Items.
- Save.
Common questions
I set Maximum Order to 6 but more than 6 people signed up. Why?
Maximum Order only limits one order. Use Capacity or Inventory for the total.
My item shows Inventory, not Capacity. Is that the same thing?
Yes. Merchandise and Other items call the total limit Inventory. Scheduled items call it Capacity.
More detail on every field: Scheduled Agenda Item: Details, Merchandise Agenda Item: Details, 'Other' Agenda Item: Details
Next step: Set the limit, then register a test order with a guest to confirm the item closes when it should.
