Quick fixes for the Certain Check-In app, all set under Engage > Check-In > Basic. If you don't see Engage, check that Certain Check-In is turned on under Plan > Configure > Options, in the Event Module list.
Find the access code
The Temporary Access Code is at the top of Basic Configuration. Staff use it to log in to the app for this event.
"Access code doesn't work"
Check the code's Valid From and To dates. If today is outside that range, the code won't work. Change the dates, then save.
Control who shows in the guest list
- Guest List - Statuses: only registrations in these statuses appear. If incomplete or cancelled people show up, remove those statuses. If people are missing, add their status.
- Guest List - Attendee Types: limit the list to certain attendee types.
- Guest List Fields: pick two extra fields to show next to each name in the app, such as Organization or Attendee Type. If you leave them blank, the app shows Organization and Position.
What happens at check-in
- Registration Status after Check In sets the status, usually Attended.
- Registration Status on Reverting Check In sets the status if you undo a check-in.
- Turn on Check Balance Due while Check-In, Print Badges upon Check-In or Allow Walk-Ins as needed.
The app shows old data or duplicates
Close the app completely and open it again. If that doesn't help, delete and reinstall the app, then log in with the access code.
Unfinished registrations show in the guest list
The guest list includes anyone whose attendee type and status match your Check-In settings, even if they didn't finish registering. To keep them out, create a custom status (for example, Incomplete) under Plan > Event Setup > Custom Statuses, assign it to those registrations, and leave it out of the guest list statuses in your Check-In settings.
Check someone in after a session ended
Past sessions are hidden in the app by default. Go to Engage > Check-In > Sessions and turn off Hide past sessions (it shows once Check-In Enabled for Sessions is on), then check people in.
Make a QR code for check-in
- Go to Manage > Badges and Barcodes > Barcodes and click Add New.
- Under Barcode Configuration, choose Advanced, name it and pick QR code as the format.
- Include Registration Code or External Id, add any other fields you want, and save.
Then add the QR code to your confirmation email or badges.
Next step: Open Engage > Check-In > Basic and check the access code dates and guest list statuses.
