Getting People Onto Your List
What this article covers: two ways to put people on your list: import a group from a spreadsheet or a paste, or add someone by hand. You'll learn both, the one setting people miss on the way through, and how the capacity counter keeps you honest.
People end up on your registration list in three ways. They can register themselves through the form you've already set up. You can bring a group in at once, from a spreadsheet or pasted straight out of one. Or you can add one person by hand. This article covers the last two: where they live, the setting almost everyone walks past, and why adding someone yourself isn't quite the same as them registering.
Registration Import
Open an event and go to Registrations. Two buttons sit above the list, and they do different jobs.
Import is for a group of people at once.
Add is for one person you're typing in yourself. Start with Import, since that's how most lists get built.
- Click Import to open Quick Import. The chips along the top are the columns Express understands, and three of them, first name, last name, and email are highlighted because they're the ones it must have or are required.
Drop a spreadsheet file straight into the box, paste rows out of Excel, or type them in yourself. Whichever you choose, keep your header row. That's what Express reads to work out which column is which. Nothing saves yet at this point. Everything you put in gets checked and shown back to you first.
- Once Express can read your rows, the right-hand side fills in: one record, every column matched up, and a green Ready to import button.
- Read the sentence running across the top before you go further. It's doing more than counting: Importing one record. Thirty-nine of forty slots remaining. As New and Staff attendees. Those last two words are a setting, and it's the one people miss most of the time.
Everybody in this import lands with that same status and attendee type. All of them, with no way to set it person by person from this view. Check both settings before you press the button rather than after. Fixing them afterward means editing every record you just created, and you shouldn't assume they'll match what you used last time.
Watch the other number in that sentence too: slots remaining. It counts down live against your event capacity as you paste. If you're about to paste two hundred rows into a room that holds forty, this is where you find out, before you do it rather than after.
- When both settings are right and the numbers make sense, click Import Attendees. This route works exactly the same whether you dropped a file in or typed the rows by hand.
Manual Attendee Entry
The other route is for when a single person rings up and asks to come.

From the Registrations list, click Add.
A blank record opens down the right-hand side, and it's shorter than most people expect. First name, last name, and email are outlined in red because they're required. Organization and title are optional. Internal notes are private to your team; the attendee never sees them. Notice what isn't here: none of the questions from your registration form. Note: Adding someone by hand isn't the same as them registering, so anything you ask on the form stays empty until they answer it themselves.
- Their status and attendee type are the two pills at the top. Unlike the import, this time they're per person.
- With the required fields filled in, the two buttons at the bottom come alive, and it's worth knowing which is which.
Create saves this person and closes the drawer. - Save and Add Another saves them and keeps the drawer open with a fresh, empty form, which is what you want when you're working down a list of names on a piece of paper.
Cancel closes the drawer. It only discards the empty form in front of you. It doesn't undo anyone you've already saved.
The short version
- Import is for a group, Add is for one person. Both end up in the same list.
- In Quick Import, keep your header row so Express can match your columns.
- Set the status and attendee type before you import. They apply to everybody in the paste, and there's no way to vary them afterward without editing each record.
- Watch the slots remaining if your event has a capacity limit.
- Adding someone by hand captures their name and email, not their form answers. Anything you ask on your registration form stays empty until they answer it themselves.
