Choose When Registration Opens and How Many Seats Are Available
What this article covers: Two settings that decide who gets into your event: your registration window, which controls when your form is open, and your capacity, which controls how many people your form accepts before it closes itself. Both live on the same panel, and setting them takes about a minute.
Step 1: Check Your Current Registration Status
Open the event you want to set up, then look at the Registrations card on the Overview tab. It tells you two things before you change anything: how many people have registered so far, and whether Open Registration is turned on right now. That status is what you're about to take control of.
Step 2: Open Your Form's Setup Tab
Click the Form tab, then click Setup. Your registration window and your capacity both belong to the form rather than to the event record, which is why you'll find them here instead of on Overview. Form Design has three sub-tabs, and Setup is the one that holds the form's own settings rather than its questions. Registration Window is the first section on the page.
Step 3: Choose Your Registration Window
Registration Window gives you three choices, and only one can be on at a time.
| Option | What it does | When to use it |
|---|---|---|
| Always open (default) | Your form accepts registrations from the moment the event goes live until you close it yourself. | Most events, especially ones without a hard signup deadline. |
| Use event schedule | Registration opens when the event starts and closes when it ends. | An event running over several days, when you're fine taking registrations right up to the end. |
| Custom window | Reveals two fields, Opens and Closes, so you set your own start and end dates. | You want the form live weeks ahead of the event and closed a few days before it, so you have time to finalize numbers. |
Pick Custom window and two date fields appear, Opens and Closes. Set both, and your form follows your own schedule instead of the event's.
Step 4: Set a Capacity Limit
Scroll down to Capacity, underneath the window settings (visible in the screenshot above). Unlimited is ticked by default, so your form keeps accepting registrations for as long as it's open. Untick Unlimited, and the number field becomes editable, plus a new row appears below it: Waitlist when full, currently marked Coming soon.
What happens at capacity: once your event hits its limit, the form stops taking registrations and shows your closed message instead. You set that message further down the same panel, and it has its own how-to article.
Step 5: Save Your Changes
Click Save. The Unsaved Changes flag clears, and your window and capacity go live.
Worth knowing: this panel doesn't save as you go. If you set a window or a capacity and navigate away without clicking Save, you'll lose it.
Quick Recap
- Your registration window decides when the form is open: always, on the event's own dates, or on dates you choose.
- Your capacity decides how many people the form accepts before it closes itself.
- Both settings live on Form, then Setup, and neither one saves until you click Save.
