Additional registrations let one person register others, like guests or colleagues, on the same order. The first person is the primary registrant. Everyone they add is an additional registrant.
Two ways to add guests
Certain has two versions, and each is set up on its own page:
- Additional Registration Add: each guest goes through their own pages, one guest at a time. Set it up on the form's Addl Regs page.
- Inline Additional Registration Add: guests are entered together on one page. Set it up on the form's Inline Addl Regs page, where you choose which fields guests fill in under Active Registrant Information.
To see which one your form uses, edit the form, click Setup, and look in the Online Form Sequence under Page Layout. Whichever of the two sections is in that list is the one registrants see. Both start out under Additional Registration Sections in Available Sections.
Guests have their own form layout
With Additional Registration Add, guests don't automatically see the same pages as the primary. To control what they see:
- Edit the form and click Addl Regs in the left menu.
- In the Online Form Sequence, add the sections guests should see, like their agenda section or arrival questions.
- Click Save.
If a section shows for the primary but not for guests, it's usually missing from this list.
Copying details from the primary
On the Addl Regs page, open the Transfer Information from Primary Registration to Additional Registrations panel.
- Pre-populate attendee type info? gives guests the primary registrant's attendee type to start with.
- To pass along other details, like organization or address, move them from Available Data Fields to Fields to Display, click Save, and then choose how each field is transferred (copied, or filled in for guests to change).
Emails and invoices
Each version has its own email setting:
-
Additional Registration Add: in the same Transfer Information panel, Send emails to additional registrations? and Send invoice to additional registrations? decide whether guests get their own confirmation and invoice. Clear them if only the primary should receive them.
-
Inline Additional Registration Add: on the Inline Addl Regs page, Email Settings has two choices: Do not send email confirmations to additional registrants, or Send email templates for confirmation email to additional registrants with the template you pick.
See Why did a registrant get two confirmation emails?
Attendee types for guests
Guests can have a different attendee type from the primary registrant, like "Guest" or "Spouse." Each way of adding guests has its own settings for this, so set it up in the one your form uses.
Add Reg button (Addl Regs)
Go to Plan > Forms > (your form) > Addl Regs.
- In the Attendee Types panel, check Use a different attendee type setup for additional registrations? and click Save. An Available Types and Types to Display list appears. Move the types guests can choose into Types to Display, then click Save again.
- If you leave that box unchecked, guests get the same attendee type choices as the primary registrant.
- In the Transfer Information panel, Pre-populate attendee type info? starts each guest with the primary registrant's attendee type.
- Keep Attendee Type in the Online Form Sequence at the top of the page, or guests won't see the attendee type list.
Inline Addl Regs
Go to Plan > Forms > (your form) > Inline Addl Regs.
- To let registrants pick a type for each guest, add Attendee Type as one of the fields under Active Registrant Information.
- Under Attendee Type Display Options, Attendee types to display sets which types guests can choose. Default attendee type is always given to guests when Attendee Type isn't one of the fields on the page.
- Under Display Settings, Attendee type label and No attendee type error message change the wording guests see.
- Under Attendee Type Display Logic, Enable primary attendee type logic lets you create rules that show certain attendee types, and limit how many guests can be added, based on the primary registrant's attendee type.
Assign it automatically with logic
In either version, a logic rule can set the guest's attendee type for them. Go to Plan > Forms > (your form) > Logic, click Add New, and choose the Assign Attendee Type action. For example, set a condition on Primary Registrant Attendee Type so every guest of a VIP gets the "VIP Guest" type. Other logic actions, Display Attendee Types and Do Not Display Attendee Types, control which types guests can choose instead of assigning one.
Guests missing an attendee type?: For inline guests, set a Default attendee type or add Attendee Type as a field. For the Add Reg button, make sure Types to Display isn't empty and Attendee Type is in the Online Form Sequence. If you use an Assign Attendee Type logic rule, check that its condition matches.
Next step: Register a test primary with one guest and check what the guest sees.
