The hotel booking part of a form uses two sections, Accommodation Entry and Accommodation. They have a few rules.
Page rules
- Put Accommodation Entry before Accommodation in the form's Page Layout.
- Give the accommodation sections their own page. If you need hotel questions on the same page as other questions, use custom questions instead.
Extra nights before or after the event
Certain doesn't have a separate setting for extra nights (sometimes called shoulder nights). Attendees can only book the nights your hotel blocks offer. You have two ways to handle extra nights.
Option A: Add the extra nights to the hotel block
Use this when the hotel is holding rooms for those nights and you want attendees to book them on the form.
- Go to Plan > Accommodation > Blocks. Blocks are listed by date, one row per night, with the inventory for each night.
- Click Add New and choose the same Hotel and Room Type.
- Set the Start Date and End Date to cover the extra nights, and enter the Inventory (rooms held each night). Enter a different Room Rate if the hotel charges more or less for those nights.
- Under Attendee Types that Can Select this Block, choose who can book these nights. Leave it open to everyone or limit it, for example to speakers or staff.
- Save. The extra nights now show in the form's Accommodation section alongside the main event nights.
Option B: Collect the extra nights with a question and book them outside Certain
Use this when the hotel won't add the nights to your block, or when only a few people need them.
- Go to Event Setup > Questions and click Add New. Set Question Type to Date.
- Enter a Name and the question text in Display for Reg Form. Tell attendees that extra nights are confirmed separately.
- Under Settings > Date Range, set From and To to the nights you can offer, for example the three nights before the event. Attendees can only pick dates in that range. Add a second date question for nights after the event if you need one.
- Save, then add the question to a question section on your form (Questions > Choose Additional Questions). On the form, the calendar only lets attendees pick dates in your range.
- Send the answers to your hotel contact or travel planner, who books those nights directly.
Date range tip: The From and To dates can't be the same day.
Holding a room with a credit card
To ask for a card that guarantees the room without charging it, open the form's Accommodations settings. Under Accommodations Payment Options, set Collect payment guarantee information to Optional or Require, pick the card types, and add Guarantee instructions if you want. See Accommodations (Attendee Form)
The form says it can't collect accommodation reservations
The event needs at least one accommodation block first. Add a hotel, its room types and a block under Plan > Accommodation (Hotels, then Blocks), then go back to the form's Accommodations settings.
Hotel details missing from the confirmation email
The confirmation probably uses a display rule. Check that the rule includes every attendee type that books a room. See Why isn't my display rule or content block showing in an email?
Good to know
The accommodation dates and labels follow your form's standard settings; translating them isn't supported.
Next step: Check Page Layout, then book a test room with each attendee type.
