Invoices give registrants a document they can use to pay by check or to get reimbursed.
Set up your invoice template
- Go to Promote > Communication > Invoices. A new event already has a Default Invoice Template.
- Copy the default template and edit the copy. See Event Invoices
- Edit the header, Bill To and footer. You can add data fields such as the registrant's name and the balance due.
- Save.
For templates every event can use, go to Account Settings > Registrations > Invoices. See Account Invoices
Let registrants choose to be invoiced
- Open the form and go to Payment.
- Under Available Payment Methods, select P.O. This is the invoice option.
- Scroll to Invoice (Bill Me) Request and fill in its Header Text, Option Label and Instructions. The instructions can include HTML, such as a link.
- To send the invoice for them, turn on Autogenerate and Send Invoice.
Send invoices
- With the confirmation: in the email template, under Options > Attachment, select Attach Invoice PDF and pick your invoice template. Then on the form's Confirm page, choose Use email Template for confirmation email and select that template.
- With any other email: use the same Attach Invoice PDF option in that email template.
- To one registrant: open their registration, go to Email > Compose, select Attach Invoice PDF and pick the invoice template. Preview shows the email text and the registration confirmation, but not the attached invoice. To see the invoice itself, change To to your own email and send yourself a test. The invoice arrives as a PDF attachment.
- To send many at once, run a custom report and use a mass action.
Common problems
I changed the template, but a registrant's invoice still looks old.
A new invoice only uses your changes if the registration has new charges that haven't been invoiced. Earlier invoices stay as they were.
I attached the invoice, but the email arrived without it.
Certain only attaches an invoice when the registration has charges. A registration with no charges ($0) gets the email without the invoice PDF.
How are invoices numbered?
An Administrator sets this under Account Settings > Registration > Financial Data in Invoice numbering preference. Invoices can be numbered 1, 2, 3 per event, or start with the event code followed by the number.
A column or total is missing from the invoice.
If a column header or summary field is left blank in the template, it's left off the invoice. Open your invoice template and fill in the label.
- Columns are under Invoice Column Headers. For example, the Default Invoice Template leaves Net blank, so invoices don't show a Net column. Type a label, such as "Net," to add it.
- Totals are under Invoice Summary Headers: Subtotal, Tax Payable, Balance Due, Total Amount Payable and Less Payments Received. Clear a label to hide that line, or fill it in to show it.
Next step: Copy the Default Invoice Template and edit the copy.
