Where Your Audience Lives in Express
What this article covers: Your audience lives at the account level, not inside any one event. What a profile is, how registrations become profiles on their own, what one record holds, and the three ways to add people yourself.
Most of Express is organized around one event at a time. Profiles is the exception — it is the one place that holds everybody you have ever dealt with across every event you have ever run, which is what makes it able to answer questions a single event cannot, like who keeps coming back and who has gone quiet.
Where your audience lives
Open the Profiles area from the rail on the left. The line that matters most sits in the top left: VIEWING PROFILES FOR, followed by the name of your account. Profiles are not scoped to one event — they are your whole audience in one place, and the count on the right is everyone in it. Down the left is the list, with each person shown alongside their role, their organization and their email. Click a name to open their record.
What’s inside a profile record
Open any profile and the top half is the person: name, email, organization, title and country, along with a Profile ID and a status. Scroll down to Registered Events and you get to the part that matters — every event this person has ever registered for, with the date and the status they hold on each one. Not one event’s view of them. All of them.
Switch to the Timeline tab and you get the audit trail for this one person: when the profile was created, and every time it has been modified since, each with a timestamp. An Export Log link in the corner lets you hand that history to somebody else if needed. The Communicate tab lists every email this person has been sent, and fills itself in automatically — composing one is a subject of its own with a separate how-to.
How most profiles get created — automatically
Back on the Profiles home view, look at Live Pulse. Every line there is somebody who registered for an event, and every one of them is now a profile. Nobody added them by hand: people register, and their profile is created for them. This is the first and most common way profiles arrive.
The rest of this article covers the times you want to add someone before they have registered for anything, or without putting them in any event.
Three ways to add people yourself
When you want someone in your audience ahead of any registration, there are three routes in: one at a time, pasted in bulk, or imported from a spreadsheet.
1. Add profile manually
Click Add profile in the top right, or the plus icon next to the search bar — both open the same profile drawer in New Profile mode. First name, last name and email are outlined in red because they are required, and Save Changes stays greyed out until all three are filled in.
2. Fast Add, for a handful of pasted names
Reach for this when somebody sends you a few names in an email. There is no form to fill in, just a box — the placeholder shows the shape it expects: one person per line, name first, then a comma, then their email.
Click into the box and paste your list in. Nothing is created yet — the text just sits there, exactly as if you had typed it into an email. Click Process Text and Express reads it back to you, showing what it understood. This is the moment to check it: if the parse is wrong, Back returns you to your text with everything still in it; if it is right, click Import to commit it.
3. Bulk Import, for a spreadsheet
Click Bulk Import when it is not a handful of names but a real spreadsheet. Quick Import takes an .xlsx, .csv or .tsv file — drop it in, or paste rows straight from Excel. The chips along the top show what it has mapped (first, last, email, organization and title), and the right-hand side counts what it has understood as it goes, so you are never importing blind.
Worth being clear about one thing: this is not the importer that puts people into an event, which has its own how-to. This one adds them to your audience. Nobody is registered for anything yet.
Turning your audience into an invitation list
Campaign Express filters your audience by organization and by role, with saved segments underneath as one-click shortcuts — Sleeping (no events in six-plus months) and Most Active (two or more events) are built in. Open a segment and it opens into a working view, not just a number: the chip at the top left shows which segment you are in, beside a count of who is in it, with a search box to narrow it further and bulk selection down the side. Along the top right, Export CSV and Send Invites are where an audience turns into an invitation list.
