Pulling Your Attendee List
What this video and article cover: how to apply a saved report, pick a file format, and export your registrations to a file you can open in Excel or hand to someone else.
- Sooner or later, someone asks you for the attendee list. Express handles it in three moves: choose a report, choose a format, export.
- Open the event first. The Overview page already gives you the headcount, three of forty here, but the list itself, and everything you can do with it, lives on Registrations.
- Click Registrations, then View: All registrations. Your list appears on screen with five columns, and this dropdown is the control that changes what you get. Look at the buttons beside it while you're here: Email Group, Change Status, Export view. There's no file format choice yet, and that turns out to matter.
- Click Full attendee export. The dropdown lists your saved report templates, and under each one it tells you what you'll actually get: Confirmed attendees is five columns with a filter, Full attendee export is fourteen columns with none. Reach for Full attendee export when you're handing the whole list to somebody.
- Two things changed when you picked that report. The table rebuilt itself with fourteen columns, adding reg code, phone, badge name, and the dates, plus a Source column that reads "Import" for anyone who arrived by spreadsheet. A format toggle also appeared that wasn't there a moment ago: CSV if the file is going into another system, XLSX if a person is going to open it in Excel.
- Click Export view, and Express builds the file. Nothing changes on the page, so don't wait for a confirmation. The file goes straight to your browser's downloads: the same columns, the same filter, the same sort, for every registration in the view.
- The order matters more than it looks. Choose the report first: that's what decides which columns end up in the file, and it's also what makes the format toggle appear at all. If none of the saved reports gives you what you need, the Reports tab is where you build your own, and that has its own how-to.
