How Reports Work in Express
What this article covers: Reports are built once for your whole account and reused on every event. This walkthrough covers where they live, how one becomes the default, and the rule that keeps a change you make on one event from reaching everybody else's.
Every event ends with someone asking for the list. Catering wants a headcount, a colleague wants to know who's coming from a client, finance wants it in a spreadsheet. A report is how you answer all of that without rebuilding the same export each time: you decide once which columns you want, which registrations count, and what order they come out in, and every event you run afterward can use it.
-
Start on your event's
Overviewscreen and find theReportscard in the Configuration row. It's a summary rather than a link to somewhere mysterious: it names the report this event is currently using, shows how many records are pinned, and gives you the count. - Check the word in the card's top corner.
Defaultmeans this event hasn't changed anything from the account's shared setup. ClickReportsin the tab row to open the full screen. -
Take the Reports screen in as a whole before you touch anything. The drawer on the left holds three sections, stacked one on top of the other:
Select report,Report Tuner, andTemplates. - Across the top sit four cards:
Columns,Filters,Sort, andMatching. Below those is the report builder itself, and below that a live preview of your actual registrations. -
At the top of the drawer,
Select reportnames the report you're viewing, next to anACCOUNTbadge. That badge is the most useful thing on this screen, and we'll come back to it. A gold star marks the report every event uses unless it's told otherwise. ClickConfirmed attendeesto preview a different one. - Nothing gets saved by doing that. Switching reports here only changes what you're looking at, the same way changing channels doesn't rearrange your furniture. Columns, filters, and the live preview redraw to match, because reports aren't variations on a theme. They're different answers to different questions.
-
Click
Full attendee exportfor the widest report on the account: fourteen columns, with the preview scrolling sideways to fit them all. Reach for this one when someone wants everything. -
Now look at the middle of the drawer,
Report Tuner. Three switches, all off by default, each with a note explaining what it does.Leave a switch off and this event uses the account template. Turn it on, and you're customizing the report for this event only, fenced off from every other event sharing it. Edit a report with the switches off and you've edited it for the whole account. Turn one on first, and your changes stay local.
- Click
All registrationsto return to the default report. -
Look at the banner across the top of the report. It reads something like "Using the account template's columns. Turn on
Override columnsto customize for this event." Express tells you plainly where what you're looking at came from, so you never have to guess whether you're editing the shared version or your own copy. -
The columns themselves run along the bottom, each labeled with its data type. The first three,
First name,Last name, andEmail, carry a small padlock and stay in every report. Everything else is yours to add or remove. -
Click
Filtersto see the next part. With no filters set, the report returns every registration. Then look at the four cards along the top again. Columns, Filters, and Sort tell you what you've configured, butMatchingis the one that earns its place: a live count of how many registrations this report returns right now, with the real people listed in the preview beneath it. You never have to guess what you're going to get. - Click
Sortfor the last piece. This report sorts byRegistered date, newest first, the sensible default for a list you're checking rather than filing. -
One more thing in the drawer:
Templates, at the bottom. Every report on your account shows up here with a switch, and that switch decides whether it appears on this event. Pin the two or three you use most and they're one click away, in bothSelect reportand the picker on your Registrations list. Leave the rest unpinned and they stay out of your way without being deleted. This matters more as your template list grows. - So the shape of it: your reports are built once at the account level, which is why the badge read
ACCOUNTand why the same reports show up on every event you open. The gold star decides which one you get by default. Report Tuner is what lets you deviate on one event without dragging everyone else along, and the moment you flip a switch, that badge changes toCUSTOM, so you always know which version you're looking at.
