Filter Your Audience and Send Invitations with Campaign Express
What this video and article covers: Your audience lives at the account level, so inviting people to an event starts by cutting that audience down to the ones you want. How the two filters work together, what the quick segments really do, how to check exactly who you have got before you commit, and how Express writes the invitation for you.
Your profiles live at the account level rather than inside any one event, and that is what makes this possible. An audience of a few thousand people is not much use on its own. It becomes useful once you can cut it down to the ones who should hear about a particular event, check you have got the right ones, and invite them without leaving the screen. That is what Campaign Express is for, and it sits at the top of the Profiles page.
Narrow Your Audience Down

Open Campaign Express.
Go to Profiles. Campaign Express is the panel across the top of the screen. On the left are two filters, company and role; in the middle is Ready to Invite, which starts out as your entire audience; on the right is the destination event; and along the bottom is a row of quick segments.

Filter by company. Click into the Organization box and start typing. It is a search box rather than a list, so two things happen: it offers you matching organizations with the number of profiles in each, and Ready to Invite is already reacting to what you have typed. A Reset link also appears in the top corner of the panel, and it will matter in a moment.

Filter by role. Narrow the company down further by what people do, using the Position/Role box underneath. The role list opens with a count beside each one. One thing worth knowing before you pick: this list is not restricted to the company you just chose. It is every role across your whole audience, so it is entirely possible to choose a role nobody at that company holds.

Watch what Ready to Invite does with a mismatch. The two filters narrow together. If you ask for people who work at a company and hold a role that nobody there holds, Ready to Invite reads zero. That is the count earning its place: it tells you a combination is empty before you spend any time on it, rather than after you have sent something. Clear both filters with Reset in the corner to start again.

Or use a quick segment instead. The chips along the bottom of the panel are saved segments, most of them companies, and any odd-coloured one is a role. Click one and it fills the matching filter box for you, and Ready to Invite follows. Look closely at what happens, though, because it catches people out: the chip writes into the filter box, it does not replace what is already there. Click a segment while an old filter is still set, and the two combine, so you can easily end up with nothing. Click Reset between segments to be safe.

Choose the destination event. Say which event these people are being invited to, using the Destination Event selector on the right. Until an event is chosen, the button underneath stays greyed out and reads "Select Event First." This is the first of several places Express makes you stop before anything can be sent.

Check Who You Have Got, Then Invite Them

Review the list. With an event chosen, that greyed-out button becomes Review List. You cannot start an invitation without saying which event it is for, so go and look at exactly who you have got before doing anything else.
Review List only becomes available once a destination event is chosen. - Look over the selection. This is the selection in full, and the header tells you which event you are reviewing it for. The segment or filter you arrived with sits as a chip in the search box at the top, with the count on the right, and there is a search box if you want to narrow further. Cards are the default view; switch to list view using the toggle beside the search box to see name, email, organization, and type for everyone on the list.

Check Bulk Selection before you send. Look at Bulk Selection above the table. Leave every box unticked, and that number is who gets the invitation: everyone who matched your filter. Tick a person's box instead and watch the number change. Read this number every time, because it is your real send list. Export CSV sits next to it if you would rather take the list away and work on it elsewhere.

Send the invitation. Click Send Invites. This does not send anything by itself. It opens a composer, and because you chose a destination event earlier, Express has already written the invitation for you: a subject line with the event name, a greeting with a merge field in it, and a Register Now button carrying the registration link.
Send Invites opens a composer with the invitation already drafted. - Check who this is going to. Before touching any of it, open the recipient count near the To field to see the real email address, rather than trusting the number on the previous screen. On a real send, this is where you catch a mistake. Everything in the draft is yours to change. When the wording is right, use Preview or Send a Test before you send the email to your recipients.
What an Invitation Actually Does

Confirm it landed. After you send an invitation, you are back on the list. An invitation does more than send an email, so it is worth seeing exactly what it did. Open the profile of the person you just invited and look at Registered Events on their record. The event you invited them to is now on the list, with a status of New. That is the part people miss: sending an invitation from Campaign Express also puts that person on the event's registration list right away, so they appear in your attendee count and you can track what they do from there.
An invitation adds the person to the event's registration list, not just their inbox. - Check the email itself. The Communicate tab beside Details holds a record of the message: the subject, the time it went, and a sent marker. That is where you confirm something left.
Campaign Express filters your account-wide audience by company and by role, and Ready to Invite updates as you go, including telling you when a combination matches nobody. Quick segments are shortcuts that write into those filters rather than replacing them, so use Reset between segments. Choosing a destination event unlocks Review List, and the review screen shows you exactly who matched. The number beside Bulk Selection is your send list. And Send Invites opens a composer with the invitation already drafted, so you can read it, preview it, and check the recipients before anything leaves.
